How is your team structured for an event?

DIW has six Senior Planners - Stefania, Mariana, Jacopo, Simona, Elizabeth, and Federica - supported by a dedicated concierge coordinator and a regional network of on-site assistants deployed across Italy.

Team size scales to the complexity of your event and guest count. Every vendor, logistics detail, and service is managed directly by your lead planner. There are no handoffs, no rotating staff. The person who plans your wedding is the person on the ground on your wedding day.

What are the primary considerations when planning an Italian wedding?
Success is built on two non-negotiable pillars: defining the total investment and securing the venue. We prioritize a direct, transparent dialogue regarding costs from the first conversation.

A destination wedding is a complex financial undertaking; you should be wary of any agency that avoids a candid discussion about the capital required to execute your vision. Your choice of location will dictate the entire financial structure of the event.

Our discovery consultation serves as a briefing to align your expectations with market realities. We address the total cost of ownership for an even - including multi-day supporting functions — and identify which Italian regions offer the support for your specific requirements.
What is the engagement process?

We follow four stages:

  1. Consultation — A strategic review of your vision, investment, and feasibility.
  2. Preliminary Proposal — A curated document outlining the initial roadmap, investment framework, and venue concepts.
  3. Venue Sourcing — A targeted, in-person scouting phase with one of our team to review and confirm your final venue selection. The sourcing fee is a retainer that credits toward your full planning contract once a venue is confirmed.
  4. Contracting — Finalizing agreements with both DIW and the venue, marking the start of full planning.
Can we engage Distinctive Italy for "Day-of" coordination only?

No. High-caliber events cannot be managed effectively if the foundation was laid by third parties. To guarantee a seamless result, we must oversee every vendor contract and logistical detail from inception. We do not assume the liability of managing vendors we have not vetted or integrated into our workflow.

How do you manage the complexity of the planning process?
We work within a dedicated planning platform built specifically for high-complexity weddings. It keeps every detail in one place: timelines, contracts, design boards, vendor confirmations. You have direct access at any time, without wading through email chains. For clients managing demanding schedules across time zones, it removes friction and keeps things moving.
How will we stay in contact?
The platform handles the logistics. We handle the relationship. Your Senior Planner is your direct point of contact throughout — reachable via the platform and through scheduled calls via Zoom. Decisions get made quickly because you're always talking to the person who knows your wedding.
Will we receive a formal itinerary before the event?
Yes. We are one of the few firms that provides an exhaustive wedding program and master timeline well in advance of your departure for Italy. This document serves as the definitive blueprint for your event, ensuring all participants are aligned.

In the months leading up to this, you will receive high-level status reports and milestone recaps to ensure the planning remains on schedule and every detail is accounted for. We prioritize clear, structured updates so you are never left questioning the progress of your investment.
Do you facilitate tastings and vendor meetings during the planning phase?
Yes. Your planning fee includes a coordinated series of meetings with our team and the primary vendors selected for your event. These sessions are strategically scheduled once the foundational planning is established. We manage the scheduling and logistics for these appointments to maximize the efficiency of your time while in Italy.

VENUES & VENDORS

What does your Venue Sourcing service entail?

The venue is the singular foundation of your event; it dictates the logistics, the aesthetic, and the total investment. Our sourcing process is designed to filter out the noise of misleading marketing and focus on what will work for your vision.

  • Exclusive Access: We provide entry to private estates and properties not found on typical online searches.
  • On-Site Inspections: We curate a targeted itinerary and accompany you for a day of private viewings to assess the venues.
  • Strategic Budgeting: For your final venue consideration, we provide a comprehensive projection of the total event cost.
  • Due Diligence: We only recommend venues we have personally vetted for management quality. An impressive website often hides logistical deficiencies; our role is to ensure the infrastructure matches the aesthetic.
  • Fee Structure: The sourcing fee is a professional retainer. Once a venue is secured and our full planning contract is executed, this amount is credited back to your account.
Do you manage events at venues not featured on your website?

Yes. Our online portfolio represents only a fraction of our operational reach. Many of our most prestigious locations — including private estates and off-market villas — are available exclusively through our venue sourcing service.

We maintain a strict vetting protocol that transcends your typical digital search. While a property may appear exceptional on Instagram or hold a high public ranking, we prioritize operational integrity and service standards. We will not work with venues that fail to meet our requirements for professional management and customer service. If a venue does not meet our internal benchmarks for reliability, we decline the engagement to protect your interests.

Do you maintain an exclusive vendor list?

Yes. A successful wedding depends on the seamless coordination of multiple independent professionals. We work with a vetted network of partners who operate as a unified team and consistently meet our rigorous standards.

Our relationships are built on accountability; every vendor knows that their continued partnership with our firm is contingent on flawless delivery. This professional leverage allows us to negotiate competitive rates and ensures that our providers prioritize your event. We only recommend vendors who represent the highest tier of the Italian market.


EVENT MANAGEMENT & DAY-OF

Who manages the event on the day of the wedding?

We provide an executive field team to oversee every moving part of your event. Your Senior Planner leads the on-site operations, supported by a staff scaled to the complexity and guest count of your celebration.

Our role is to serve as the single point of accountability. We manage all vendor arrivals, oversee technical installations, and direct the flow of the itinerary. By handling the logistical friction behind the scenes, we ensure you remain the host of the party rather than the manager of the production. You will receive discreet progress briefings throughout the day, ensuring you are informed without being burdened by decision-making.

Does your fee include the management of pre- and post-wedding events?

Our planning fee covers the logistical design and coordination of supporting events - such as welcome dinners, rehearsal events, or farewell brunches - within the overall project scope.

However, while the planning is included, the physical presence of our team to oversee these additional days on-site incurs a separate staffing charge. This ensures we can provide the necessary level of personnel and logistical support required to maintain our standards across a multi-day itinerary. The specific investment for on-site management depends on the guest count, the location of the events, and the complexity of the requirements.

Do you manage guest logistics and travel?
Yes. One of our add-on services is our Concierge Service, which handles group hotel blocks, private airport transfers, and event-day transportation. We treat the guest experience as a core component of the wedding's success, ensuring that your attendees are managed with the same level of care as the hosts.
When should we arrive in Italy?

If your ceremony is symbolic or has no remaining legal requirements, your arrival date is at your discretion. We recommend arriving with enough time to adjust to the time zone and be fully rested before the events begin.

For legally binding civil ceremonies, the timeline is dictated by your citizenship and Italian law:

  • US and Australian Citizens: You must be in the country at least 4 weekdays prior to the wedding to finalize mandatory paperwork.
  • British and Irish Citizens: A stay of 2 weekdays prior is typically sufficient to complete the final steps.

We provide a specific, confirmed timeline for your arrival once we begin the legal coordination process.


INVESTMENT & FEES

What are the baseline investment requirements for an Italian wedding?

For a 100-guest event that meets modern luxury standards, the entry point is €200,000. Below this, the quality of catering, venue exclusivity, and production value will face significant compromises.

  • Baseline Luxury (€200,000+): High-quality historic villas and refined décor.
  • Mid-Range Luxury (€250,000+): Elevated production, premium vendor tiers, and enhanced guest experiences.
  • Ultra-Luxury (€350,000 – €1M+): Exclusive buyouts of Tier-1 properties (e.g., Lake Como or Amalfi Coast), bespoke lighting design, and multi-day custom itineraries.
How does DIW's fee structure work?

DIW charges planning fees for our services. As is standard practice across professional planning industries - travel, interior design, architecture - vendors may also provide introductory commissions to the firm. These arrangements have no bearing on what you pay; all vendor pricing is identical to direct booking rates.

Clients residing outside Italy also benefit from VAT exemption on many services - a saving of up to 22% that DIW structures on your behalf as a matter of course.

How do we secure your services?

To formalize our partnership, we provide a professional services agreement accompanied by a non-refundable retainer. The specific deposit amount is calculated based on the scale, location, and technical complexity of your event

What is the policy regarding cancellations?
Should you need to cancel your event, we require written notification via email. Cancellation fees are structured on a sliding scale; as the event date approaches and our operational commitments increase, the associated charges also rise.
How do you handle unforeseen global events?
Distinctive Italy maintains a robust Force Majeure clause. We are not liable for disruptions or delays caused by factors outside of our professional control. This includes - but is not limited to - natural disasters, public health emergencies, labor disputes, or geopolitical instability. Our priority is to protect the integrity of the planning process while navigating these variables with transparency and expert guidance.

LEGAL & ADMINISTRATIVE

How are legal requirements and paperwork managed?
One of the primary benefits of our firm is the navigation of Italian bureaucracy. We manage the entire dossier for both civil and religious ceremonies. For non-residents, we coordinate the specific weekday requirements for town hall appearances and provide the legally required translation services.
What is the "SIAE" tax?
In Italy, the Società Italiana degli Autori ed Editori (SIAE) collects copyright royalties for any music performed that is less than 100 years old. This is a mandatory legal requirement. Non-payment puts the event at risk of being shut down by local authorities. We handle the registration, calculation, and payment of this tax on your behalf.
Will our wedding be legally recognized if civil?
Yes. We ensure all civil ceremonies are registered correctly, providing you with an official marriage certificate that is valid and recognized in your home country.
Is it possible to hold a civil ceremony at our chosen location?
An increasing number of private estates and luxury villas across Italy have obtained the necessary government authorization to host legal civil rites on-site. This allows for a seamless transition from the ceremony to the reception without logistical interruptions. Furthermore, these ceremonies are fully customizable, allowing for personal vows, curated readings, and specific musical arrangements to reflect your standards.
